- How Do We Use Your Data?
- All personal data is processed and stored securely, for no longer than is necessary in light of the reason(s) for which it was first collected. We will comply with Our obligations and safeguard your rights under the Data Protection Act 1998 and GDPR at all times. For more details on security see section 7, below.
- Our use of your personal data will always have a lawful basis, either because it is necessary for Our performance of a contract with you, that you have consented to Our use of your personal data (e.g. by subscribing to receive marketing emails), because it is in Our legitimate interests, in the public interest or your own vital interests, or because the law requires it. - We do not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Data will therefore be retained for the following periods (or its retention will be determined on the following bases):
- As per the retention period specified in Our contract with you;
- As required by law or regulation;
- All data used in accounts payable and receivable, payroll, personnel files, expired contracts and all email correspondence is kept for up to seven (7) years or until a data removal request has been actioned;
- For as long as contractual discussions prevail, remain relevant or until a data removal request has been actioned;
- The Cookie Cache for Our Site is cleared annually;
- Comments submitted to Blog Posts (and related information) on Our Site are kept as long as the post is considered relevant to Our Site. Data Subjects can request the removal of their comment and related personal data by submitting a written request to firstname.lastname@example.org.
- Job application information is kept for one year as a standard. Some applicants may be contacted via email to inform them that We are keeping their application on file for future openings and have the option to opt out of this anytime. Job applicants may request their data is removed from our system by submitting a written request to email@example.com.
- All new marketing contacts are added with consent to our mailing list, where consent can be revoked at any time by the Data Subject; either by clicking the ‘Unsubscribe’ button on our email communications or by submitting a written request to firstname.lastname@example.org.
- How and Where Do We Store Your Data?
- We only keep your personal data for as long as We need to in order to use it as described above in section 6, and/or for as long as We have your permission to keep it.
- Some or all of your data may be stored outside of the European Economic Area (“the EEA”) (The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein). You are deemed to accept and agree to this by continuing your relationship with Us, providing consent to Us, using Our Site and submitting information to Us. If We do store data outside the EEA, We will take all reasonable steps to ensure that your data is treated as safely and securely as it would be within the UK and under the Data Protection Act 1998 and GDPR including:
- Confirmation of GDPR compliance from all third party processors engaged directly by US.
- Privacy Impact Assessments carried out where required for third party processors.
- Data security is very important to Us, and to protect your data We have taken suitable measures to safeguard and secure personal data.
- Steps We take to secure and protect your data include:
- All internal systems are secured as per the IT Security Policy, available on request to email@example.com;
- Marketing website secure hosting via GoDaddy;
- Marketing website security features provided by WordPress;
- All job applicant details are stored within the BambooHR System, on UK servers, a third party processor whom has provided written confirmation of their GDPR compliance;
- All communications with marketing lists are conducted through Microsoft Office365 or MailChimp, third party processors which have provided written confirmation of their GDPR compliance.
- Do We Share Your Data?
- In certain circumstances, We may be legally required to share certain data held by Us, which may include your personal data, for example, where We are involved in legal proceedings, where We are complying with legal obligations, a court order, or a governmental authority.
- We may sometimes contract with third parties to supply products and services to you on Our behalf. These may include payment processing, delivery of goods, search engine facilities, advertising, and marketing. In some cases, the third parties may require access to some or all of your data. Where any of your data is required for such a purpose, We will take all reasonable steps to ensure that your data will be handled safely, securely, and in accordance with your rights, Our obligations, and the obligations of the third party under the law.
